Say your institute is participating in the Science Weekend. How do you organise the registration of all the participants, and which information do you need from them? Which agreements do you make as regards privacy, such as taking photos at the event? All these questions are related to the GDPR which took effect on 25 May 2018: the General Data Protection Regulation. This regulation strengthens people’s privacy rights and imposes more obligations on organisations when it comes to processing personal data. Cora Arts, the Central Privacy Coordinator (CPC) at NWO-I, is working with the institutes and the NWO-I office to draw up guidelines and she agreed to talk to us about them. |

The current NWO-I foundation has only been in existence since 2018 and is therefore a relatively young post-merger organisation. A lot of work has been done in recent years on developing the organisation. The management of the foundation changed at the end of 2019 with the appointment of an NWO-I director and an NWO-I director of operations. In the meantime, NWO-I had to contend with deficits, but solutions have been found for this. At present, plans are being developed to further strengthen operations and take advantage of the benefits of collectivity. This article provides an update on these and other changes. |

In the section 'NWO celebrates…', we highlight special days that we as members of the NWO community can celebrate together. In this newsletter we point out Coming Out Day, which is held every year on 11 October. This day marks the moment that lesbian women, homosexual men, and bisexual, transgender and intersex people (LGBTI+) open up about their sexual orientation or gender identity: the day that they come out of the closet, or their ‘coming out’ as it is commonly referred to. NWO/NWO-I is celebrating Coming Out Day by flying the rainbow flag at its offices in Utrecht and The Hague and at all NWO Institutes. Léon Ouwerkerk, HR advisor with CWI and LGBTI+ coordinator for both NWO and NWO-I, wrote a personal column about Coming Out Day. |

New system for ‘Recognition & Rewards’ at the NWO Institutes |

NWO-I is currently changing the system of ‘Recognition & Rewards’ within the nine NWO Institutes. The move was prompted by the national Recognition & Rewards programme, which aims to devise a more up-to-date, balanced academic system. The programme evolved in 2019 when VSNU, NFU, NWO, KNAW and ZonMw published a position paper entitled 'Room for everyone’s talent’. The aim is to change the culture within academia, in the Netherlands and the rest of the world, so that all tasks carried out by our employees are recognised and rewarded. |

Han Dolman appointed new director NWO Institute NIOZ |

The board of the Institutes Organisation of NWO, the Dutch Research Council, has appointed Prof. Dr. Han Dolman Director of the Royal Netherlands Institute of Sea Research (NIOZ) for a period of five years. As of 1 November 2021, he will succeed current director Prof. Dr. Henk Brinkhuis, who has completed his two legal terms of five years (2011-2021). |

A total of around 2600 people work at NWO and NWO-I, all of whom are from different backgrounds. The section, ‘NWO celebrates …’, highlights special days all of us can celebrate together. In July Keti Koti was celebrated and reflected on the abolition of slavery. Colleague, Jane Olf (Financial Administration, NWO-D) shares her personal impressions of what is both a celebration and a day of commemoration. Jane: 'Keti Koti literally means “the chain is broken”. Although the announcement that slavery was to be abolished was made on 1 July 1863, my forebears had to work for another ten years: it wasn’t until 1 July 1873 that they truly became free.' |

Strategic Conference of the Permanent Committee on National Institutes (PCNI) on 11 November |

The boards of the KNAW and NWO set up the Permanent Committee on National Institutes (PCNI) in June 2020, following the evaluation of the portfolio of the KNAW and NWO Institutes. In the coming years, the PCNI will provide both boards with solicited and unsolicited advice about broad scientific and social developments that the portfolio of national research institutes can respond to. On 11 November 2021, the PCNI will be holding its first strategic conference to discuss major, scientifically important, cross-institutional challenges and requirements, for which an institutional strategy is needed. |

Highlight ASTRON: most detailed-ever images of galaxies revealed using LOFAR |

After almost a decade of work, an international team of astronomers has published the most detailed images yet seen of galaxies beyond our own, revealing their inner workings in unprecedented detail. The images were created from data collected by the Low Frequency Array (LOFAR), a radio telescope built and maintained by NWO Institute ASTRON. LOFAR is a network of more than 70,000 small antennae spread across nine European counties, with its core in Exloo (Drenthe), the Netherlands. |

New NWO co-determination structure since JulyEvery employee represented at every level |

Generally speaking, if changes are made to the way that an organisation is managed, changes may also be needed in the way that co-determination is organised. The appointment of a director NWO-I and a director of operations NWO-I has changed the governance within NWO to the extent that the co-determination structure also needed to be adjusted. As a result, a works council has been set up for the NWO-I office (ORB) and a group works council for the entire Institutes Organisation (GOR NWO-I). How will this new structure help you as an NWO-I employee? |

The new co-determination structure at NWO and NWO-I took effect on 7 July. Here you can read which exact form this structure takes and how the interests of NWO and NWO-I employees will be represented. At its meeting on 7 September, the COR NWO discussed a number of current topics with the Executive Board representative, such as the further development of NWO-I, strategic development, hybrid working and the advisory committee on a director for NWO-I. The COR NWO also took the initiative to draw up a procedure manual for crisis situations, following the hack at the beginning of this year. |

Every year, Tech@Workplacepride organises an event from a different city in the Netherlands. This year the LGBTIQ+* conference 'Differ(ent) kinds of energy' takes place on Thursday 18 November at NWO Institute DIFFER, on the campus of the Eindhoven University of Technology. The guiding theme of this 2021 edition is sustainability and energy transition, and the importance of diversity for this mission. We will have talks by leading scientists and people from industry about developments on sustainability and energy, suited for a lay audience, mixed with stories about and reflections on diversity. There will be both LGBTIQ+ and non-LGBTIQ+ speakers. |
